This Privacy Policy describes in detail what data we collect, how we process it, with whom we share it, how long we retain it, and what rights you hold under the General Data Protection Regulation (GDPR — Regulation (EU) 2016/679) and Italian data protection law (D.Lgs. 196/2003 as amended by D.Lgs. 101/2018). This policy applies to all personal data processed through our Website, email, project management systems, and payment platforms.

3.1 Contact Data: Name, email, phone, company name, project details submitted via contact forms or email. 3.2 Source Materials: Documents, files, and content submitted for translation. These may contain personal data of third parties (e.g., names in certificates, medical records). Such data is processed solely for the purpose of translation and is governed by strict confidentiality obligations. 3.3 Payment Data: Processed by Stripe, Inc. (PCI DSS Level 1). NTA does not store card details. 3.4 Analytics: Plausible Analytics (EU-hosted, cookie-free, no personal data). 3.5 Communication Records: Email correspondence and project management communications retained for service delivery and quality assurance.
Translation projects may involve documents containing sensitive personal data (medical records, legal proceedings, immigration status). We process such data exclusively for the purpose of providing the translation service, under GDPR Article 9(2)(f) (legal claims) or with the data subject's explicit consent as provided through the client. All translators handling sensitive documents are bound by confidentiality agreements and, where applicable, professional codes of conduct.
We process data for: (a) responding to enquiries and providing quotes (pre-contractual steps, Art. 6(1)(b)); (b) delivering translation services (contract performance, Art. 6(1)(b)); (c) processing payments via Stripe (contract, Art. 6(1)(b)); (d) maintaining translation memories and glossaries (legitimate interest in service quality, Art. 6(1)(f)); (e) anonymous website analytics (legitimate interest, Art. 6(1)(f)); (f) compliance with Italian fiscal obligations (legal obligation, Art. 6(1)(c)); (g) marketing communications with explicit consent (Art. 6(1)(a)).
We share data only with: Translators (freelance linguists bound by NDAs and data processing agreements — they receive only the source material necessary for their assignment); Stripe, Inc. (payment processing, US-based with EU Standard Contractual Clauses); Plausible Analytics (EU-hosted, no personal data); Hosting provider (EU-based); Italian authorities when legally required. We never sell, rent, or trade personal data.
Translation projects inherently involve international data flows when translators are based outside the EEA. All such transfers are protected by Standard Contractual Clauses (Commission Decision 2021/914) and supplementary measures. Translators in non-EEA countries are contractually bound to equivalent data protection standards.
Contact enquiries: 3 years. Source materials: deleted 90 days after project completion (unless client requests longer retention). Translation memories: retained indefinitely as they are linguistic assets (containing no personal data). Payment records: 10 years (Italian fiscal law). Project files: 12 months for quality assurance, then deleted.
Under GDPR you have the right to: access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), portability (Art. 20), objection (Art. 21), and withdrawal of consent.
